How we collect, use and protect your personal data.

Whose information we hold

We hold personal information about:

  • People who contact us, through our website, by phone or by email, about our services.
  • Newsletter subscribers, who give us their email address through the signup form on our website.
  • Clients and system users, for the term of the services we provide, including the people who use systems we install and maintain.
  • Job applicants and employees, from the time they apply to us, including for the security screening checks our industry requires.

What information we collect

  • Contact form: your name, email address, and, if you choose to give them, your phone number, company, area of interest and your message.
  • Newsletter signup: your email address.
  • Clients and system users: names, postal addresses, email addresses and telephone numbers, and the details needed to provide, service and invoice our work.
  • Job applicants and employees: the information needed to assess an application, carry out security screening and run employment, such as pensions, payroll, tax and private healthcare.

How we use your information, and our legal basis

Data protection law requires us to have a legal basis for each use of your personal information. Ours are:

  • Answering your enquiry and preparing a quotation. Legal basis: our legitimate interest in responding to people who contact us, or taking steps at your request before entering into a contract.
  • Sending our newsletter. Legal basis: your consent, which you can withdraw at any time (see below).
  • Delivering our services: carrying out contracts, dealing with system users, arranging service, maintenance and call-out visits, and sending invoices, contracts and other correspondence. Legal basis: performing our contract with you or your organisation, and our legitimate interest in supporting the systems we install.
  • Recruitment, screening and employment. Legal basis: performing the employment contract, meeting our legal obligations, and our legitimate interest in the security screening our industry requires.
  • Keeping our website secure and free from spam (see "Third-party services" below). Legal basis: our legitimate interest in protecting the site and our inbox.

How long we keep your information

  • Website and email enquiries: 12 months after our last contact with you, unless you become a client, in which case the client period below applies.
  • Newsletter subscriptions: until you unsubscribe or ask us to remove you.
  • Client records: for the term of our services and afterwards for as long as legal, accounting or reporting requirements need.
  • Employee screening records: the term of employment plus 7 years, as our regulatory obligations require.

We review our retention periods regularly and only keep information for as long as we need it for the purposes above.

Who we share your information with

We do not sell your information, and we do not share it with anyone for their marketing purposes. We share it only with the service providers named below, who process it on our behalf, and, where required by law, with the police, fraud prevention and other law enforcement or government agencies.

Third-party services we use

A small number of trusted services help us run this website:

  • Cloudflare, our hosting and security provider. Its Turnstile anti-bot check runs on our contact and newsletter forms to block automated spam.
  • Resend, the service that delivers website enquiry and newsletter signup emails to us. Details you submit through our forms are processed by Resend solely to deliver that email to us.
  • Carto / OpenStreetMap, which supply the tiles for the office map on our contact page. Your browser requests these tiles directly, so these providers receive your IP address when you view that page.

None of these services are used to track you.

International transfers

Cloudflare and Resend are based in the United States, so information you submit through our website may be processed there. Where this happens, it is protected by the safeguards UK data protection law requires, such as the UK-US data bridge or the International Data Transfer Addendum to standard contractual clauses.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access: you can ask us for copies of your personal information.
  • Your right to rectification: you can ask us to correct information you think is inaccurate, or to complete information you think is incomplete.
  • Your right to erasure: you can ask us to erase your personal information in certain circumstances.
  • Your right to restrict processing: you can ask us to restrict the processing of your information in certain circumstances.
  • Your right to object to processing: you can object to processing based on our legitimate interests in certain circumstances.
  • Your right to data portability: you can ask us to transfer the information you gave us to another organisation, or to you, in certain circumstances.
  • Your right to withdraw consent: where we rely on your consent, such as for our newsletter, you can withdraw it at any time. This does not affect anything we did before you withdrew it.

We do not make decisions about you by automated means alone. You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond. Cookies

Cookies are small text files placed on your device when you visit a website. We keep our use of them to a minimum:

  • Essential cookies, which our hosting and security provider (Cloudflare) may set to keep the site secure, available and performing well. These are required for the site to function.
  • Your preferences: we use your browser's local storage to remember whether you have acknowledged our cookie notice. This stays on your device and is not shared. Light or dark display mode follows your device setting and is not stored.

We use Cloudflare Web Analytics to understand how many people visit the site and which pages they view. It is cookieless, stores nothing on your device and does not collect or track personal information.

We do not use advertising or third-party tracking cookies. We set no non-essential cookies, so the Accept and Decline buttons on the banner shown on your first visit have the same effect: your choice is stored in your browser's local storage only so the banner is not shown again. You can see it again at any time by clearing your browser storage for this site. If we introduce analytics or marketing cookies in future, we will update this notice and ask for your consent first.

Your right to complain

If you have any problems with the way that we are handling your personal data, please contact us first by email at info@antronsecurity.co.uk or by telephone on 01923 855 006 from 8.30am to 5.30pm, Monday to Friday.

You can also complain to the Information Commissioner's Office (ICO) by telephone on 0303 123 1113, or through the ICO's website: ico.org.uk/make-a-complaint.
